Technical Assistance:

Labeling water bottles with children's names.
Written parent permission for specific sunscreens/insect repellents.
Annual fire and environmental health inspections (email to inspector).

Comments:
A monitoring inspection was conducted on 08/01/2023. The inspector arrived at 10:05 AM and departed at 12;43 PM. There were 22 children present, ranging in ages from 6 to 12 years, with 4 camp staff directly supervising. The inspector reviewed compliance in the areas of administration, physical plant, staffing and supervision, programming, medication, special care and emergencies and nutrition. A total of 5 child records and 6 staff records were reviewed.

Information gathered during the inspection determined non-compliance with applicable standards or law and violations were documented on the violation notice issued to the program and discussed with the camp director during the exit interview.

Violations:
Standard #: 8VAC20-780-70
Description: Based upon review of staff records, the facility has not ensured that staff records contain all required information.
Evidence:
1. The records provided staff 1, 2, 4, 5, 6 did not include the dates of employment.
2. The records provided for staff 1, 2, 3, 4, 5, and 6 did not include the job title.

Plan of Correction: The facility responded with the following:
All staff records will be updated to clearly indicate the date of employment and the employee's job title (program leader or aide).

Standard #: 8VAC20-780-280-B
Description: Based upon observation, the facility has not ensured that hazardous substances, insecticides and pesticides are kept in a locked place using a safe locking method that prevents access by children.
Evidence:
1. There were 3 cans of red spray paint and a can of hornet and wasp spray on an open shelf at the archery/rifle range. All containers had warning labels.
2. The doors to the back storage rooms at the Nature Hut were standing open. There were cleaning fluids with warning labels in the storage rooms.

Plan of Correction: The facility responded with the following:
All camp staff will be re-trained regarding the locked storage of any and all potentially hazardous substances at all times children are present.

Standard #: 8VAC20-780-280-E
Description: Based upon observation, the facility has not ensured that materials such as paints and insecticides/pesticides are stored in areas physically separate from each other.
Evidence:
There were three containers of red spray paint beside a spray can of hornet and wasp spray on an open shelf at the archery/rifle range.

Plan of Correction: The facility responded with the following:
All camp staff will be re-trained regarding the locked storage of any and all potentially hazardous substances at all times children are present. The training will include a reminder that insecticides/pesticides must be stored in areas physically separate from other chemicals.

Standard #: 8VAC20-780-550-P
Description: Based upon review of injury records, the facility has not ensured that they maintain a written record of children's injuries that includes all required information.
Evidence:
An injury record dated 6/29/2023 did not include the date, time and how the parent was notified of the child's injury. The same record did not have the signatures of two staff or the signature of one staff and the parent.

Plan of Correction: The facility responded with the following:
Camp staff will be re-trained in the required documentation of children's injuries. Injury records will be reviewed by camp administrative staff to ensure that all information and signatures are recorded.
